01 / Acknowledgment
I am sorry we sent [wrong item] instead of [ordered item]. We have checked the mismatch and are taking [authorized action].
02 / Clear next step
Your next step is [verified instruction] through [route]. We will handle [team action] and update you by [time].

A wrong-order apology should identify the mismatch and make the next process clear. The customer should not have to infer whether they must return the item, wait for contact or send additional information.
01Confirm the mismatch without making the customer repeat everything
Review the case and order record first. State the item or detail that was wrong. Ask for a necessary clarification only if it is missing. Avoid requiring a full retelling of a complaint when the information is already present in the support thread.
02Explain the remedy at its actual stage
A requested replacement is not the same as a dispatched replacement. A return label is not automatically a completed return. Use accurate verbs so the customer understands the progress. Do not promise a refund or replacement outside the business’s confirmed options.
03Make the customer’s next action explicit
If a step is required, explain what and where, using the approved support route. If no action is needed yet, say that and give the next update time. Keep private account and payment details out of ordinary email where the proper route is different.

04Own the correction through completion
Name the team or case owner rather than saying someone will handle it. Provide a useful reference and a checked checkpoint. The apology should not close the case while the practical error remains unresolved. Keep later updates consistent with the actual order record.

A LITTLE MORE CLARITY
Questions worth asking.
Should I promise an immediate replacement?
Only if that is confirmed and within your authority. Otherwise explain the stage of the request.
Is an apology enough to close the complaint?
The customer still needs the practical correction and a clear explanation of any remaining step.
A THOUGHTFUL NEXT STEP
Make the apology clear.
Make the next step useful.
Take what is useful. Add your truth. Let your next actions support the apology.
