A customer waiting for an order needs a usable delivery update. Check the actual shipment stage before saying it will arrive soon. The apology should distinguish what the business knows, what it is checking and what choice is available to the customer.

01

Use the checked shipment stage

State whether the item has been dispatched, is with the carrier or is still being prepared, only as verified. Do not repeat an old tracking estimate as a fresh confirmation. Include the appropriate order reference without unnecessary address or payment details.

02

Acknowledge the missed expectation

Name the promised or expected date accurately. If the business gave an unreliable update, acknowledge that separately. Avoid calling the delay minor when you do not know what the customer needed the item for. A short specific apology is more useful than an exaggerated claim about their feelings.

03

Describe only available options

Explain a checked replacement, cancellation or support route where one actually applies. Do not invent a policy or authorize a remedy you cannot provide. If a decision is pending, say who is checking it and when the customer will hear back. Make any action required from them explicit.

04

Keep the follow-up with the business

Send the update when promised, even if the carrier check is unresolved. Avoid telling the customer to start the whole inquiry again elsewhere when your team can manage the follow-up. A personal card does not replace the delivery information or the ordinary order-support process.

A LITTLE MORE CLARITY

Questions worth asking.

Can I say the order will arrive tomorrow?

Only if that arrival is genuinely confirmed. Otherwise explain the estimate or uncertainty accurately.

Should I include the full customer address?

Use only the reference needed through the appropriate channel. Do not expose unnecessary personal details.

A THOUGHTFUL NEXT STEP

Make the apology clear.
Make the next step useful.

Take what is useful. Add your truth. Let your next actions support the apology.
